Direct Debit terms & conditions
Effective from 7 September 2026.
1. About these terms
- These terms apply to anyone paying for Velocity Tennis coaching (run by Alex Barrow) by monthly Direct Debit or recurring card payment, from 7 September 2026.
- By setting up a monthly payment you agree to these terms on behalf of yourself and any player you pay for.
2. How the monthly fee is worked out
- The coaching programme is based on 38 paid weeks of coaching a year, excluding school holidays.
- The annual cost is split evenly across 12 months, so your payment stays the same every month, including school holiday months.
- One extra session is included in the year at no extra cost, as a contingency in case a cancelled session cannot be made up.
3. Fees and discounts
- Your monthly fee is the amount shown when you set up your payment. It depends on the player (junior aged 4–21 or adult), the number of sessions per week and whether the player is a Tennis Club member.
- Players attending twice a week receive a 25% discount on the combined cost of two weekly sessions.
- Each additional child from the same family receives 10% off their monthly coaching fee.
- Non-members pay a 20% supplement on the coaching rate. Club membership is separate and paid directly to the Tennis Club.
- Existing customers keep their current rate as agreed. Any future price change will be given with at least one month's notice.
4. Collecting payments
- Payments are collected securely through Stripe. Velocity Tennis never sees or stores your full bank or card details.
- You can choose your payment date: the programme start date, the 1st of the month, the date you set up your payment, or the 14th of the month.
- Payments are then taken automatically each month until you cancel.
- If you join part-way through the year, the monthly rate is the same and your 12-month cycle starts from the month you join.
5. Failed payments
- If a payment fails, you have 14 days to bring it up to date. Please get in touch if you need help — we will work it out together.
- If a payment is not resolved within 14 days, the player's place may be paused or released to someone on the waiting list.
6. Missed and cancelled sessions
- If a player misses their normal session, they can make it up at another suitable session, subject to availability. Please let Alex know as soon as possible.
- If Alex cancels a session (for example because of weather or coach availability), a make-up session will be offered where possible.
- Missed or cancelled sessions are not refunded; they are covered by make-up sessions and the extra contingency session.
- If a session cannot be made up at all, the lesson can be credited back to the player's lesson credit balance instead.
7. Changing sessions or payment date
- Contact Alex directly to change sessions — changes can be made at any point in the year.
- Moving from one to two sessions a week: the new payment normally starts the following month. If the change applies straight away, a separate invoice may be sent for the difference.
- Reducing sessions: the lower payment starts the following month. There are no refunds for reducing sessions part-way through a month.
- You can change your payment date by contacting Alex.
8. Cancelling
- You can cancel your Direct Debit at any time, through the Player portal or by contacting Alex.
- After cancelling, the player can continue attending until the end of the month already paid for. Payments already taken are not refunded.
- Your bank's Direct Debit Guarantee still applies to any payment taken in error.
9. Your place on the programme
- Your payment gives the player a place on the coaching programme for the season, without needing to re-book each term, subject to the normal club terms and conditions.
- Places, groups and coaches may be adjusted to manage group sizes and coaching capacity fairly.
