Privacy & cookie policy

Velocity Tennis is run by Alex Barrow, providing tennis coaching at Wythall and Studley. Alex is the data controller for the personal data on this website. Contact: velocitywithalex@gmail.com.

We follow the UK GDPR, the Data Protection Act 2018, the EU GDPR and the Privacy and Electronic Communications Regulations (PECR).

• Parent or adult player details: name, email address and phone number.
• Player details: name, date of birth, ability level and chosen sessions.
• Medical or additional-needs information that you choose to give us, so coaches can keep players safe.
• Bookings, attendance, lesson credits, subscriptions and payment records.
• Account sign-in details (your email and a securely stored password).

We never see or store your full card details — these are handled by Stripe.

• To provide coaching you've booked (contract): registers, bookings, payments, session changes and cancellations.
• Safety and safeguarding (legitimate interests and, for medical information, your explicit consent): knowing a player's age, emergency contacts and any medical needs.
• Service emails (contract/legitimate interests): booking confirmations, payment receipts and low-credit reminders.
• Legal obligations: keeping financial records.

We do not send marketing emails without your permission and we never sell your data.

• Velocity Tennis coaches, only for the registers they run.
• Stripe, to take payments and Direct Debits securely.
• Our website hosting and email provider, who store and send data on our behalf.
• Google, only if you allow external content (maps and the private-lesson diary).

Some providers may process data outside the UK/EU. Where they do, they use approved safeguards such as standard contractual clauses.

Public pages such as the junior matchplay board show first names and a surname initial only — never contact details.

• Player and contact details: while you're with us, then up to 2 years after your last session.
• Payment and financial records: 6 years, as required by tax law.
• Medical information: removed when the player leaves, or sooner if you ask.

You can ask us at any time to:

• see a copy of the data we hold about you or your child;
• correct anything that's wrong (you can also edit children in the Player portal);
• delete your data, where we don't need to keep it by law;
• restrict or object to how we use it, or withdraw consent;
• receive your data in a portable format.

Email velocitywithalex@gmail.com and we'll reply within one month. If you're unhappy, you can complain to the Information Commissioner's Office at ico.org.uk or your local EU data protection authority.

Essential (always on): storage that keeps you signed in, remembers your cookie choice and lets Stripe take payments securely. The site can't work without these, so they don't need consent.

External content (only with your permission): Google Maps on the club pages and the Google Calendar private-lesson diary. These set Google's own cookies, so they stay blocked until you allow them.

We don't use analytics, advertising or tracking cookies. Our fonts are hosted on our own site, so loading a page doesn't send your details to Google.
